Job Description

An experienced, proactive and assertive Executive Assistant/Personal Assistant is required for the high-profile CEO of a SME, who specialise in creative communications.  The business is embarking on a growth cycle that could see international client wins double the turnover, thus creating the need for effective secretarial and organisational support to the CEO for both business and personal life.

Whilst maintaining the office and providing Executive Assistance to a CEO who undertakes lots of international travel is unlikely to be a 9-5,  it is an interesting, varied and mentally stimulating role, within a business that champions Diversity, Inclusivity and Gender equality. The role of the Executive Assistant/Personal Assistant will be to..

  • Manage the CEO task lists including delegated tasks and projects
  • Ensure timelines for delivery are adhered to by the CEO
  • Provide a high quality secretarial and organisational support service
  • Proactively distribute, manage and respond to emails
  • Effectively manage electronic diaries, assessing priority and reallocation
  • Provide support for an extensive range of meetings; preparing agendas, booking venues, pre-meeting briefings and meetings,
  • Take meeting notes and minutes, ensuring action points are followed to completion
  • Ensure all correspondence, reports and notes are accurate
  • Act as a key liaison point between senior managers, board members and other key parties, setting up meetings and maintaining good communication
  • Deputise for the CEO at management meetings
  • Make travel arrangements, book accommodation and create detailed itineraries
  • Monitor and organise the CEO’s on-line profile and social media
  • Receive and deal with telephone calls professionally
  • Provide high quality office hospitality to visitors and clients

The ideal Executive Assistant/Personal Assistant will demonstrate…

  • Experience in supporting the deliverables of a board level member

  • Strong interpersonal and communication skills, able to build relationships and collaborate with a wide range of internal and external contacts
  • Excellent attention to detail, superb organisational skills and an expert multi-tasking ability
  • A proven talent to manage upwards
  • Skills in anticipating needs and employing initiative to keep one step ahead
  • An ability to work under pressure, to tight deadlines without any loss of service or professionalism
  • Social media savvy with an interest in the creative sector
